Notion alternative: the honest answer is “by job”

Main topic: Notion alternative · Facts checked 3 November 2026 — prices change, so re-check the official page before acting on them.

Short answer: there is no drop-in Notion alternative, because Notion’s databases, relations and formulas do not move cleanly to anything. What exists is a best pick per job: Obsidian for local Markdown files and offline work, Anytype for local-first encrypted notes, AppFlowy or AFFiNE for an open collaborative workspace, Capacities for object-based thinking, Superhuman Docs (formerly Coda) when your docs must calculate, ClickUp when the real job is tasks and projects, and Craft for beautiful personal documents. The eight alternatives, by job

  • Local files & offline → Obsidian. Plain Markdown files you own, full offline use, free app; optional Sync is $5/month (checked 3 Nov 2026).
  • Private & local-first → Anytype. Local-first, encrypted, works offline — the closest to “Notion, but mine”.
  • Open source workspace → AppFlowy. Open source and self-hostable, with pages and databases.
  • Visual collaboration → AFFiNE. Docs plus whiteboard, local-first with collaboration.
  • Objects, not folders → Capacities. Notes as connected objects — a different, calmer model.
  • Docs that calculate → Superhuman Docs (formerly Coda). Tables and formulas inside documents, for teams whose docs do maths.
  • Tasks & projects → ClickUp. If your “Notion” is really a project tracker, use a project tool.
  • Beautiful writing → Craft. Polished personal and shared documents, Apple-friendly.

What breaks, whichever you pick

Export a Notion workspace and you get pages and CSVs — the system does not come with them. Relations between databases, rollups, formulas and automations are Notion logic, and every alternative expresses them differently or not at all. Expect to rebuild your database design by hand in the new tool, and expect some of it to be impossible. The kit’s job checker scores each alternative against the exact Notion features you tick, and the golden rule applies: test on a copy / export first, never migrate the live workspace blind.

Questions people ask

What is the closest Notion alternative?

By job: Anytype for local-first privacy, AppFlowy for an open Notion-shaped workspace, Obsidian for files and offline. None imports Notion databases with relations and formulas intact — “closest” is about how you work, not about a clean import.

Can I export everything from Notion?

You can export pages and database CSVs. What you cannot export is the living system — relations, rollups, formulas and automations do not travel. Export first, test the export in the new tool, and keep the Notion workspace untouched until the new setup proves itself.

Which Notion alternative is free?

Obsidian’s app is free (Sync is the paid extra), Anytype and AppFlowy have free use, and AFFiNE has a free tier. Check each official pricing page — free tiers change, and team features are where the paid lines are usually drawn.
